Behind every great exhibition or acquisition is not only a group of professionals, but also a mountain of paperwork.

​Documentation is the invisible infrastructure of collecting. Every loan, acquisition, exhibition, conservation effort, condition report, and sale starts with a document. As collections grow, that initial document snowballs into dozens, hundreds, and even thousands of documents.

​Historically, this paper trail has involved a lot of printing, scanning, mailing, and emailing. One team produces paperwork to be sent off for another’s approval, the document passing back and forth over days or weeks. You’re forced to patiently await the signed paperwork’s return, hoping that no file or sharing issues arise in the process.

​Our new digital signature feature is a modern evolution of this invisible infrastructure. It streamlines the approval and sign-off process, making it easier than ever to quickly get signatures from all stakeholders. Using our web and mobile apps, you can easily create reports and documents that can be emailed directly to users and non-users for digital signature, including condition reports, loan agreements, deeds of gift, and other essential collection-related documents.

​Once you’ve selected a document for digital signature, users add contact information into the system, and our app shares a cloud-based version of the document directly with the recipient. They receive a link notifying them that a document needs their approval. By clicking the link, they can access and review the document before adding their signature directly from our system. Users can request up to five signatures per report. After all signatures are complete, Collector Systems sends an email notification to designated users, along with the signed report.

Using this feature streamlines the document workflow by letting you send reports directly for signature without downloading, emailing, or using third-party apps. Recipients can sign and return approvals instantly, and no one has to wait for mailed paperwork or worry about missing attachments. Digital signature makes it easier and quicker than ever to summit the paperwork mountain.
